Key Concepts

Contacts

Your contacts are journalists, influencers, and stakeholders you communicate with. Prezly acts as your PR CRM, keeping all their details, preferences, and consent status in one place.

  • Add contacts manually or import them in bulk.

Stories

Stories are your press releases and news updates.

  • Write and publish stories with multimedia content.
  • Share them in branded Sites (newsrooms) or send via campaigns.

Sites

Sites are your online newsrooms, hosted by Prezly.

  • Branded with your logo, colors, and design.
  • Organize stories into collections and categories.
  • Include media galleries, press kits, and company info.

Campaigns

Campaigns are mass emails you send to groups of your contacts.

  • Personalize subject lines and content.
  • Measure results with detailed reports.

Pitches

Roles and Permissions

Prezly supports multiple users with different access levels:

  • Admins manage billing, IT settings, and user roles.
  • Editors can create and publish content.
  • Contributors may have limited access depending on your setup, this might be only access to a specific site, or just a part of the tool.

This allows agencies and teams to collaborate securely while keeping control over sensitive data.

Quick Set-up Checklist

Here are the three most important steps to get started with Prezly:

  1. Set up your Site (Newsroom)
    • Go to Sites and create your newsroom.
    • Add branding, logo, and company details.
    • Choose your theme and set default language.
  2. Import your Contacts
    • Prepare a CSV of your media list.
    • Import contacts via the Contacts section.
    • Use tags and segments for organization.
  3. Set up IT Settings
    • Verify your custom domain for your Site.
    • Configure SPF, DKIM, and DMARC to improve email deliverability.

Once these steps are complete, you can start writing stories, publishing to your newsroom, and sending campaigns.
